Data Hygiene is an important part of B2B marketing. The difference between having good data hygiene and bad data hygiene could make or break a marketing campaign.
What is Data Hygiene?
Data Hygiene is measured by how “clean” your data is. This depends on how many of your data records are correct and usable in a marketing campaign. A number of factors can affect this, such as if the contact still works at the company, if the company has been dissolved, or in the case of direct mail data marketing, has the company changed address.
Having a database of fresh and up-to-date contacts means that you will receive an increase in responses. This means having an out-of-date database will result in a high percentage of bounce backs. This could potentially lead to your business missing out on potential clients and sales. Maintaining strong data hygiene and carrying out thorough B2B data cleansing plays a critical role in both direct mail and email deliverability, particularly in corporate environments where filtering decisions are influenced by sender reputation and domain trust. This will lead to having more clients, giving you an improved return on investment.
How will bad Data Hygiene affect my marketing?
Incorrect records affect your data cleanliness. Therefore, this will lower your data hygiene. This causes your marketing database to become ineffective. Additionally, in some cases the data becomes unusable. As a result, sending out marketing campaigns to these contacts is wasting resources, time and money which could be better spent elsewhere. There are multiple ways of cleaning a database. For example manual cleansing requires someone to go through and verify each record in the database manually. This can be time-consuming and is an ineffective method of ensuring data hygiene best practices.
The importance of data cleansing
Maintaining data hygiene best practices is essential. Ideally, you should start with a clean database, but this isn’t always the case. In such situations, data cleansing becomes a necessity. It involves procedures like data screening, manual cleansing, and electronic data cleansing, all of which contribute to better data hygiene and efficient operations.
Data Screening
Sometimes, errors in a database can include not saving the accurate contact numbers and email addresses of possible clients. Then, this can be a nightmare for companies that have to deal with large amounts of data within their campaigns. Data management and cleansing tools prevent possible mismanagement, ensuring data efficiency and preventing any related issues. Therefore, this ensures an organisation is working without any obstacles and hindrances. Also, it boosts the efficiency of transactions exponentially.
Manual Cleansing
Data cleansing can also be run manually but this has to be done by a person who will have to verify all the details. As well as check for any mistakes and irregularities. Their duties also include the disposing of out-of-date records to ensure that only new and relevant data is stored in the database. However, this sort of cleansing is very time-consuming to get the data up to proper hygiene standards. The manual composition of a database is also time-consuming. On the other hand, it is one of the ways that you can guarantee the data meets all the criteria of your specific campaign.
Electronic Data Cleansing
This kind of B2B data cleansing includes complex operations and is usually done with the help of advanced computer applications, which follow certain sets of rules controlled by a user. This will include deleting unwanted or outdated records, providing spell checks of different documents simultaneously and getting rid of duplicated files. These are all processes that contribute to good data hygiene practices. Compared to manual cleansing, this form of data cleansing is also quite fast. However, it could make mistakes such as changing a correct spelling to make it incorrect. Whereas with manual cleaning, the person doing it has to take more care and time when checking, which means that they can pick up on the things the program might miss.
Managing data
Managing big and bulky databases is indeed an arduous task. So this will need a lot of care and discipline. It will also take a lot of time, no matter your method. Thanks to the modern age and its digital technology, businesses are now shifting to properly handling, analysing, and storing raw data. This art of managing data and converting the raw data into valuable information catered to each campaign is extremely vital for the survival of businesses. Focusing on any data concerns lets you run your business smoothly and efficiently. Also, it allows you to focus on other important business matters. As well as not wasting time and money.
Consequences of uncleansed data
The consequences of storing unclean business data are serious. This can include increased expenditures on printing and postage for direct mail data campaigns or a waste of any telemarketing staff’s time and profitability within telesales. Hence, any organisation should take serious measures against accumulating unclean databases. And therefore, should maintain high expectations for the quality of any data that they purchase.
